Refund Policy – Bali Visa Germany

Welcome to Bali Visa Germany. We are dedicated to providing expert consulting services to facilitate your Indonesia visa application process. Our goal is to ensure a smooth and successful application, but we also understand that circumstances can change. This Refund Policy outlines the conditions under which refunds may be issued for our services.

Our Commitment

Bali Visa Germany acts as a professional intermediary, assisting clients with the preparation, review, and submission of their visa applications to the relevant Indonesian authorities. Our service fees cover the expertise, time, and resources invested in guiding you through the complex visa application process, ensuring all documentation is correctly prepared and submitted according to current regulations. Please note that we do not issue visas; the final decision on all visa applications rests solely with the Indonesian immigration authorities.

Refund Eligibility Criteria

1. Before Government Submission: 80% Refund

You may be eligible for a partial refund of our service fees if you decide to withdraw your application before it has been officially submitted to the Indonesian immigration authorities or their designated VFS/Embassy channels. In such cases, Bali Visa Germany will provide a refund of 80% of the service fees paid to us.

  • What “Before Government Submission” Means: This refers to the period after you have engaged our services and paid our fees, but before we have physically or electronically transmitted your application and supporting documents to the official Indonesian government visa processing system or an authorized third-party submission center (e.g., VFS Global, the Indonesian Embassy/Consulate).
  • Why Not 100%? The remaining 20% covers the administrative costs, initial consultation time, expert document review, communication, and resources already expended in preparing your application for submission, even if it hasn’t been formally submitted yet. This includes initial assessments, checklist provision, document pre-checks, and client communication.

2. After Government Submission: 0% Refund

Once your application and supporting documents have been officially submitted to the Indonesian immigration authorities, or their designated partners, no refund (0%) of the service fees paid to Bali Visa Germany will be provided.

  • What “After Government Submission” Means: This includes the moment your application package is lodged with the Embassy/Consulate, uploaded to an official government portal, or submitted to a VFS Global center, thereby entering the official processing pipeline.
  • Why 0% Refund? At this stage, our primary service of preparing, reviewing, and submitting your application has been rendered in full. The application process is then entirely within the purview of the Indonesian immigration authorities, and our involvement in the initial stages is complete. Our service fee is for the facilitation process, not for the outcome of the visa decision itself.

Non-Refundable Circumstances / Exclusions

The following circumstances are strictly non-refundable for our service fees:

  • Rejection by Indonesian Immigration Authorities: If your visa application is rejected by the Indonesian immigration authorities for any reason, no refund of our service fees will be provided. Our service fee covers the expert consultation, document preparation, review, and submission process. The decision to approve or reject a visa rests solely with the immigration department, and is beyond our control or guarantee.
  • Provision of False or Misleading Information: If it is discovered that the applicant provided false, incomplete, or misleading information or documents during the application process, leading to rejection or withdrawal.
  • Failure to Meet Immigration Requirements: If the applicant fails to meet any specific immigration criteria or requirements that were clearly communicated or available in the visa guidelines.
  • Changes in Immigration Law: Any changes in Indonesian immigration laws, policies, or procedures that occur after your application has been submitted and are beyond our control.
  • Applicant’s Change of Mind After Submission: If the applicant decides to withdraw their application after it has been officially submitted to the authorities, regardless of the reason.
  • Third-Party Fees: Government-imposed visa application fees, biometric fees, courier charges, or any other third-party service fees are typically non-refundable by the issuing authorities and are therefore not covered by our refund policy.

How to Request a Refund

To request a refund, you must submit a written request via email to our dedicated contact address. Your request must be received before your application has been submitted to the government authorities to be considered for an 80% refund.

Please include the following information in your email:

  • Your full name
  • Your application reference number (if applicable)
  • The date of service engagement
  • A clear reason for your refund request

Refund Processing Timeline

Once a refund request is approved and deemed eligible according to this policy, Bali Visa Germany will process the refund within thirty (30) business days from the date of approval. The actual time for the refunded amount to reflect in your bank account may vary depending on your bank’s processing times and international banking regulations.

Important Considerations

  • Government Fees: Please be aware that any government-imposed visa application fees, biometric fees, or other third-party charges are typically non-refundable by the issuing authorities, regardless of the application outcome or withdrawal.
  • Processing Fees: Any transaction fees or charges incurred during the original payment or the refund process (e.g., bank transfer fees, credit card processing fees) may be deducted from the refunded amount.
  • Currency: All refunds will be processed in EUR (Euros) or the original currency of payment, at our discretion, and converted at the prevailing exchange rate if applicable.
  • Accuracy of Information: It is the applicant’s sole responsibility to provide accurate, complete, and truthful information and documents. Any issues arising from inaccuracies will not be grounds for a refund.

Changes to This Policy

Bali Visa Germany reserves the right to modify or update this Refund Policy at any time without prior notice. Any changes will be effective immediately upon posting on our website. Applicants are encouraged to review this policy periodically to stay informed.
